C. Communication and Call Information
When you provide a telephone number or communicate with us by telephone or text message, we may collect or process information associated with those communications, such as:
- Telephone number
- Date and time of the communication
- Call status, duration, and disposition
- The number used to place the call
- Caller-ID routing information
- Pickup or origin location information used for call routing
- Whether a call was answered by a person, voicemail system, call-screening service, fax, or other automated system

- Consent, revocation, and opt-out information
- Keypress information used to process an automated opt-out request
- Lead or reference identifiers used to prevent duplicate contacts and manage follow-up attempts
We may use automated call-detection and routing technology to process this information. These systems are designed to identify call status and route communications; they are not intended to create a recording of the substance of a customer conversation unless call recording is separately enabled.
Where permitted and where applicable, calls may also be monitored or recorded. If recording is used, notice will be provided as required by applicable law.
2. How We Use Your Information

- Legal and Regulatory Compliance: To maintain records, respond to lawful requests, resolve disputes, and comply with applicable requirements.
3. How We Share and Disclose Information
We do not sell your telephone number, email address, or other contact information to unrelated third parties for their own independent marketing purposes.
We may, however, disclose personal information when reasonably necessary to operate our business and provide the services you request.
A. Service Providers and Technology Vendors
We may provide information to companies that perform services on our behalf, including providers of:
- Cloud hosting and computing infrastructure
- Telecommunications and voice services
- Automated calling and call-routing technology
- Telephone number and callback routing
- Customer relationship management systems
- Email and text-message communications
- Website hosting
- Analytics and conversion measurement
- Advertising technology
- Fraud prevention and security services
These providers may process information only as necessary to perform services for us and are subject to their own contractual, privacy, and security obligations as applicable.
B. Moving Service Providers
When necessary to fulfill a moving request, arrange transportation, obtain pricing, or coordinate services, we may provide relevant information to moving service providers, authorized motor carriers, or other parties involved in fulfilling your requested move.
Information provided for these purposes may include your contact information, moving locations, moving date, move size, inventory information, and other information needed to coordinate the requested service.
C. Legal Requirements
We may disclose information where we reasonably believe disclosure is necessary to:
- Comply with applicable law or legal process
- Respond to court orders, subpoenas, or government requests
- Protect the rights, property, or safety of Medalist Moving Services, our customers, or others
- Investigate fraud or unlawful activity
- Enforce our agreements or policies
D. Business Transactions
If Medalist Moving Services is involved in a merger, acquisition, financing, sale of assets, restructuring, or similar business transaction, information may be transferred as part of that transaction subject to applicable law.
4. Quote Requests and Automated Call Technology
Medalist Moving Services uses technology designed to provide timely follow-up after a prospective customer requests information, submits a moving quote request, or otherwise asks us to contact them.
A. Automated and Artificial-Voice Calls
Where permitted by applicable law and where the required consent has been obtained, our systems may initiate or assist with outbound calls using automated technology and an artificial or computer-generated voice, including text-to-speech or similar voice technology.
An automated call may provide a brief Medalist identification, quote-follow-up, connection, or routing message before connecting the call to a live Medalist representative.
Our communications systems may use automated technology to:
- Initiate an outbound telephone call
- Provide an artificial-voice or automated greeting
- Detect whether a call has been answered
- Distinguish between a person, voicemail system, call-screening service, fax, silence, or other call result
- Perform a short connection or liveness check before transferring an answered call
- Route or transfer an answered call to a Medalist representative
- End a call when voicemail, fax, or another non-human result is detected
- Schedule a later follow-up attempt when contact is not made
- Process callback routing when a customer returns a call
- Process and record an automated do-not-call request
B. Caller-ID and Local-Presence Routing
To help route calls consistently and make return calls easier to associate with the appropriate market, Medalist may use pickup or origin information, including city, state, ZIP code, or telephone area code, to select a Medalist-controlled business telephone number for an outbound call.
A call may therefore originate from different Medalist business telephone numbers depending on pickup location, geographic market, telecommunications availability, prior caller-ID assignment, or operational requirements.
Where our systems assign a particular Medalist telephone number to a lead, we may retain that assignment so later follow-up attempts use the same or a consistent Medalist business number.
C. Follow-Up Attempts and Calling Windows
If we do not make contact, our systems may schedule additional follow-up attempts on later days and at different times, subject to applicable law, communication preferences, internal operating hours, and the information associated with the requested move.
We may use pickup or origin location information to determine an appropriate local calling window. Follow-up attempts may stop when, among other things:
- Contact is made and the call is transferred to a Medalist representative
- You ask us to stop calling
- Your number is placed on our internal do-not-call list
- The move date has passed
- The inquiry is no longer eligible for follow-up
- The applicable source or campaign is no longer active
D. Automated Opt-Out
Automated Medalist calls may provide a keypress option that allows the recipient to request no further automated calls.
When the automated message instructs you to press a designated key to opt out and you use that option, our system is designed to:
- Record the telephone number on Medalist's internal do-not-call list
- Record the date, time, and method of the opt-out
- Stop the current automated call
- Suppress the telephone number from future automated calling by the applicable Medalist system
The automated keypress method is not the only way to revoke consent or request that calls stop. You may also make a do-not-call or revocation request through other reasonable methods described in Section 5.
E. Service Providers
The infrastructure supporting these communications may involve third-party cloud computing, telecommunications, voice-technology, call-routing, caller-ID, customer-management, analytics, and security providers acting on our behalf.
These providers may process limited information necessary to place, route, connect, monitor the status of, or record the disposition of a communication. Use of these providers does not mean that your information is being sold to those providers for their independent marketing purposes.
5. Communications, Consent and Opt-Out Requests
A. Telephone Calls
When you request a quote or otherwise ask Medalist Moving Services to contact you, we may call the telephone number you provide regarding your inquiry, estimate, requested move, services, scheduling, or related offers where permitted by law.
Depending on the communication and technology involved, calls may be initiated or assisted using automated dialing, artificial-voice or text-to-speech technology, call-routing, answering-machine detection, call-screening detection, or similar telecommunications technology.
Where prior express consent or prior express written consent is required by applicable law for a particular type of telephone communication or technology, we seek the required consent separately from this Privacy Policy.
B. Text Messages
Where you have provided the required consent, we may send text messages regarding:
- Moving estimates
- Quote follow-up
- Scheduling
- Service information
- Customer support
- Promotions or discounts
Message frequency may vary. Message and data rates may apply.
You may opt out of text messages by replying STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, UNSUBSCRIBE, or by otherwise clearly communicating that you no longer wish to receive the applicable messages. We may send a one-time non-promotional confirmation of your opt-out where permitted by law.
C. Email
We may use your email address to send estimates, confirmations, service information, follow-up communications, and, where permitted, promotional information.
Marketing emails may include an unsubscribe mechanism where required.
D. Consent Is Not a Condition of Purchase
Where legally required, consent to receive marketing calls or text messages using regulated automated, artificial-voice, prerecorded-voice, or similar technology is not a condition of purchasing goods or services from Medalist Moving Services.
You may contact Medalist through other available methods if you do not wish to provide such consent.
E. Revoking Consent and Do-Not-Call Requests
You may withdraw consent or ask us to stop certain communications at any time through a reasonable method that clearly communicates your request.
Depending on the communication, available methods may include:
- Pressing the designated opt-out key during an automated Medalist call when that option is offered
- Telling a Medalist representative that you do not wish to receive additional calls
- Replying with an applicable opt-out word to a text message
- Leaving a voicemail that clearly requests no further calls or messages
- Contacting us at info@medalistmoving.com
- Contacting Medalist through another reasonable method that clearly communicates your request
We do not require you to use only one particular method to revoke consent.
When an automated keypress opt-out is used, our system is designed to record the request immediately and terminate the automated call. Other revocation or do-not-call requests are processed as soon as reasonably practicable and within the period required by applicable law.
Once a telephone number is placed on our internal do-not-call list, we use that record to suppress future calls covered by the request. Re-submitting a quote form or appearing in a later lead file does not, by itself, cause our automated systems to disregard an existing internal do-not-call record unless you subsequently provide legally sufficient authorization for renewed contact.
Opting out of marketing communications does not necessarily prevent Medalist from sending non-marketing communications that are necessary to complete a requested transaction, provide requested services, address an existing customer relationship, or comply with law, to the extent permitted by applicable law.
F. Privacy Policy Is Not a Substitute for Communication Consent
This Privacy Policy describes our information and communication practices. It does not, by itself, constitute consent to receive telephone calls or text messages where separate consent is required by law.
Where legally required consent is necessary, Medalist obtains that consent separately at the point where your telephone number or other contact information is collected.
6. Data Retention
We retain personal information for as long as reasonably necessary to:
- Respond to and manage your inquiry
- Prepare and maintain estimates
- Coordinate moving services
- Maintain customer and business records
- Maintain records of communication consent, revocation, and opt-out requests
- Maintain internal do-not-call suppression records
- Maintain call-attempt, caller-ID assignment, transfer, and disposition records
- Prevent duplicate contacts
- Resolve disputes
- Enforce agreements
- Detect fraud or security issues
- Comply with applicable legal and regulatory requirements
Retention periods may vary depending on the type of information, the nature of our relationship with you, and applicable legal requirements.
We may retain an internal do-not-call record for at least five years from the date of the request, and we may retain it longer when reasonably necessary to continue honoring your communication preference or to comply with applicable law.
When other information is no longer reasonably necessary, we may delete, anonymize, or otherwise dispose of it in accordance with our practices and applicable law.
7. Security Practices
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, alteration, loss, misuse, or disclosure.
These safeguards may include encrypted HTTPS connections, access controls, authentication measures, security monitoring, and protections used by our hosting, telecommunications, and technology providers.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
